10 Microsoft 365 Features Most Businesses Aren't Using (But Should Be)
Most businesses pay for Microsoft 365 and use about a third of what they're entitled to. The subscription includes security features, productivity tools, and management capabilities that go largely untouched — often because nobody mentioned they were there.
1. Conditional Access Policies
Conditional access lets you control who can access your Microsoft 365 environment and under what conditions. You can require MFA for logins from outside your office, block access from certain countries, or require compliant devices. It's one of the most powerful security controls in M365 and most businesses haven't touched it.
2. Microsoft Defender for Business
Business Premium and higher plans include Defender for Business — a full endpoint detection and response platform. Many organizations are already paying for it and running a separate third-party antivirus product instead.
3. Sensitivity Labels
Sensitivity labels let you classify documents and emails (Confidential, Internal, Public) and apply protections automatically — encryption, watermarks, or access restrictions. Particularly useful for organizations handling client data or regulated information.
4. Microsoft Authenticator with Number Matching
Most people use SMS for MFA. Microsoft Authenticator with number matching is significantly more phishing-resistant — users must match a number shown on screen rather than simply approving a push notification. The switch takes minutes and costs nothing extra.
5. Entra ID Sign-In Logs
Your Entra ID tenant keeps detailed logs of every sign-in — including failed attempts, logins from unusual locations, and legacy authentication attempts. Few businesses look at these until after an incident has already occurred.
6. Microsoft Secure Score
Secure Score is a dashboard that rates your M365 security configuration and gives you a prioritized list of improvements with implementation guidance. It's built in, free to access, and most businesses have never opened it.
7. Shared Mailboxes Instead of Extra Licenses
For team email addresses like info@, support@, or billing@, shared mailboxes give multiple people access without requiring an additional paid license. Many organizations buy full user licenses for these addresses instead.
8. OneDrive Known Folder Move
This policy automatically backs up each user's desktop, documents, and pictures folders to OneDrive — transparently, without user action required. It's one of the highest-value controls for endpoint data protection and takes about ten minutes to configure via Group Policy or Intune.
9. Teams Meeting Recordings to SharePoint
By default, Teams recordings go to the meeting organizer's OneDrive. With a policy change, they go to the meeting's SharePoint channel — easier for the team to find, better governed, and not lost if someone leaves the organization.
10. Intune for Device Management
Microsoft Intune is included in Business Premium. It lets you enforce device compliance policies, deploy software, manage updates, and remotely wipe lost or stolen devices — regardless of where that device is. Most small businesses aren't using it and are managing devices ad hoc instead.
